Position Summary:

The Manager of Finance and Administration will be responsible for managing and overseeing the financial, accounting, and administration operations of Islamic Aid Pakistan. This includes designing and implementing financial policies and procedures, preparing financial reports and budgets, ensuring compliance with laws and regulations, and overseeing the administration function of the organization. The role also includes managing the finance and administration team and providing guidance and support to other departments. The successful candidate will play a key role in the overall management and smooth running of the organization, ensuring that all financial and administrative tasks are completed efficiently and effectively. Additionally, the Manager of Finance and Administration will be responsible for designing, implementing and maintaining modern technology-based and paperless systems, with a focus on online accounting, ERP, and CRM systems.

Key Responsibilities:

  • Develop and implement financial policies and procedures in line with international accounting standards and best practices.
  • Prepare and present financial reports to the management team and board of directors on a regular basis, including income statements, balance sheets, cash flow statements, and budgets.
  • Prepare and manage the organization’s budget and financial forecast, ensuring that all expenses are in line with budgeted amounts and that any variances are explained and justified.
  • Ensure compliance with laws and regulations, including filing of taxes and statutory returns, and keep abreast of any changes in laws and regulations that may impact the organization’s financial and administrative operations.
  • Manage the finance and administration team, including recruitment, training, and performance management. Provide guidance and support to team members to ensure that all financial and administrative tasks are completed efficiently and effectively.
  • Oversee the administration function of the organization, including procurement, inventory management, and facilities management.
  • Provide guidance and support to other departments, including budgeting, forecasting, and financial analysis to assist in decision-making.
  • Maintain the organization’s financial and administrative systems and ensure accurate data is recorded and stored.
  • Design, implement and maintain modern technology-based and paperless systems, with a focus on online accounting, ERP and CRM systems.
  • Ensure that the organization’s systems are secure, backed up and easily accessible to authorized personnel.
  • Provide training and support to staff on the use of the systems.
  • Liaise with external auditors and other financial and administrative stakeholders as required to ensure that the organization’s records are accurate and up-to-date.

Person Specification:

  • A Master’s degree in Accounting, Finance, Business Administration or a related field is highly desirable.
  • Minimum of 5 years of experience in a similar role in an NGO, charity or similar organization.
  • An accounting certification such as an ACCA or ICMA is required.
  • Strong knowledge of international accounting standards and regulations, including IFRS and IAS.
  • Experience in managing and leading a team. The ability to lead, motivate and manage a team of finance and administration professionals is essential.
  • Excellent communication and presentation skills. The ability to present financial and administrative information to non-financial stakeholders in a clear and concise manner is essential.
  • Strong analytical and problem-solving skills. The ability to analyze financial and administrative data and identify trends and issues is essential.
  • Proficient in Google Workspace or similar and accounting software such as Sage or similar.
  • Strong understanding of financial management principles and the ability to apply them in a practical setting.
  • A good understanding of the International NGO sector is preferred.
  • Familiarity with the local laws and regulations is a plus.
  • Strong attention to detail as well as the ability to work under pressure and meet tight deadlines.
  • Being fluent in English is mandatory.
