Heterodox Academy (HxA) is a non-partisan, non-profit organization that promotes open inquiry, viewpoint diversity, and constructive disagreement to improve higher education and academic research. With a growing membership of over 6,900 professors, administrators, and students, HxA helps colleges and universities uphold their highest ideals and resist groupthink and tribalism. We communicate and engage with faculty, students, administrators, philanthropists, journalists, and the public as we work to improve higher education. We also develop research, tools, trainings, and events, and facilitate online and on-campus communities.

Position Summary

Heterodox Academy (HxA) seeks a seasoned administrative associate for our Membership and Campus Engagement division who is passionate about HxA’s mission. The person in this role is a key face of HxA, communicating with and onboarding HxA members, moving them into deeper engagement with the organization. Responsibilities include answering member correspondence, updating and managing CRM database, scheduling external meetings and activities, providing logistical support for members, managing day-to-day administrative operations, ensuring smooth workflow, and supporting member engagement in member forums and listservs. The ideal candidate is detail-oriented, experienced in data stewardship, skilled in volunteer coordination or constituent engagement, and possesses excellent written and oral communication skills.

Specific Duties:

  • General membership support 
  • Manage membership and campus engagement emails, responding promptly to requests and questions (e.g. application and member account questions, sharing relevant resources and event details, providing general information about HxA, etc.)
  • Vet membership applications and onboard new members 
  • Perform routine data entry tasks, including updating constituent information and tracking member activities
  • Assist with management of HxA’s virtual HxCommunities and Campus Communities
  • Provide logistical support for member activities
  • Coordinate with Operations Manager on member reimbursements & payments 
  • Monitor online forums to ensure team members are informed of member activities
  • Generate reports related to member & campus engagement and activities
  • Coordinate meetings with external stakeholders (e.g. Campus Community leadership, potential partners, etc) 
  • Other administrative and operational duties as assigned

Required Qualifications:

Education and Experience:

  • Associates degree; Bachelor’s degree preferred
  • At least 3-5 years of work experience in non-profits, volunteer engagement, and/or community outreach
  • Clear, constructive, and professional communicator in English

Knowledge of Technology and Communication Tools:

  • Experience with CRM systems management (preferably Salesforce and/or HubSpot)  
  • Proficient in Google Suite, Microsoft Office, and Asana

Organizational Skills:

  • Keen attention to detail
  • Excellent time management and organizational skills in a remote-work environment
  • Experience in scheduling and managing appointments and meetings
  • Proficiency in organizing and maintaining records

Location: Remote. Occasional travel within the US and Canada is possible. 

Position Type: Regular, full-time, non-exempt

This full-time, at-will position starts as soon as possible. HxA offers a flexible work schedule, but full-time employees must work 40 hours per week.
