ABOUT MINDS MATTER

Minds Matter is a national nonprofit organization whose mission is to connect driven and determined students from low-income families to the people, preparation, and possibilities to succeed in college, create their future, and change the world. Minds Matter operates 14 chapters across the nation.

ROLE DESCRIPTION

The Operations Associate will be responsible for maintaining back-end administrative and development operations. This role will report to the Operations & Data Manager, but will also work closely with the Chief Development Officer.

Administrative Operations & Database Management

  • Work with vendors and Minds Matter chapters to ensure volunteers are in compliance with required policies and background checks
  • Manage Salesforce database cleanup projects
  • Create reports, conduct data analysis and field assessments in Salesforce
  • Make technical updates to the Minds Matter website
  • Respond to emails from Minds Matter chapters and the public
  • Compose how-to guides and user manuals

Development Operations & Communications

  • Ensure standardization of all donor records
  • Produce reports, donor lists, and associated documentation to support donor outreach
  • Reconcile donation records with Quickbooks; track and process pass-through donations to chapters; ensure that all donors are properly attributed and acknowledged
  • Support Major Gift operations, such as creating prospect research briefs and corporate profiles as well as manage the project’s workflow (e.g., maintaining communications records)
  • Support stakeholder communications, including creating social media posts and proofing newsletters
  • Support in-person events, such as checking-in guests and supporting the CEO and CDO

OTHER QUALIFICATIONS

  • Bachelor’s degree
  • Passionate about the Minds Matter mission and the organization’s values of community, commitment, and growth
  • Knowledge of Salesforce and WordPress highly desired
  • Knowledge of FormAssembly and Box preferred
  • Previous success working remotely full-time preferred
  • Able to manage complex tasks and multiple projects and timelines
  • Is extremely organized, hyper-attentive to detail, responsive, and reliable
  • Strong interpersonal skills and an ability to connect with people from diverse backgrounds
  • Excellent writing, editing, and proofreading skills
  • Capable of working independently as well as collaboratively

WORK ENVIRONMENT

This role is fully remote with possible domestic travel 6‒10 days a year. All members of the Minds Matter staff work a four-day workweek from Tuesday to Friday, including meeting outside of standard hours (including Saturdays and evenings) when necessary. As the manager for this role is located on the East Coast, the Operations Associate must be available to work between 9:00 am and 5:00 pm ET.

Preference will be given to individuals who live in the New York tri-state area.

COMPENSATION

The salary for this position is $65,000 (non-negotiable). Minds Matter offers full healthcare and benefits, a four-day workweek, and a generous PTO policy.
