1) Administrator
Responsibilities include the following:
- Manage membership relations, including proactive customer service, responding to member questions and requests, updating member profiles, and sending member renewal notices.
- Promote growth of HDCA membership by working with the Executive Council to develop membership policies, and marketing and outreach initiatives.
- Provide administrative support to the Officers and other members of the Executive Council, Thematic Group Coordinators, Regional Network Coordinators, the HDCA Fellows, and HDCA Committees (e.g. Finance, Nominating, Affiliations).
- Prepare and distribute agenda and materials for Executive Council meetings bi-monthly, or as required. Take meeting minutes and disseminate to EC members.
- Work with the Secretary, Treasurer and Bookkeeper to maintain financial records, corporate filings, taxes, and other official reports and correspondence.
- Supervise the HDCA website support group, and work with them to identify website related problems and implement improved website features and functionalities.
- Help maintain website content by posting news, events, publications and other materials, and support the Thematic Group and Regional Network coordinators in the management of their webpages and listservs.
- Work with the Newsletter Editor on the compilation and distribution of monthly newsletter.
- Work with the Vice President to solicit nominations for annual Executive Council and manage online elections. Work with VP to undertake elections of the HDCA Fellows as needed.
- Provide administrative support to organizers and committees related to the annual HDCA conference, oversee conference registration and payments, and attend conference and provide onsite assistance. Arrange logistics for annual meetings of the General Membership taking place at the conference, as well as dinners or meetings of the Executive Council and Fellows.
- Support the annual HDCA Summer School, including overseeing online registration, and providing other logistical and communications support as needed.
- Work closely with the Treasurer to prepare annual budget and monitor income and expenditures throughout the year. Handle logistics of distributing conference and summer school scholarships, and payment of invoices via bank transfer as needed.
- Work closely with the HDCA Bookkeeper on proper recording of income and expenditures of the Association.
Required Qualifications:
Candidate must have at least a Bachelor’s level degree
Excellent organizational skills and attention to detail
Strong interpersonal, oral and written communication skills, including fluency in English
Solid computer skills, including MS Word, Excel, as well as highly comfortable with online databases
Ability to efficiently handle multiple tasks at the same time
Ability to take initiative and work independently with minimal supervision
Preferred Qualifications:
Prior administrative and/or non-profit experience
Knowledge of WordPress
Social media experience
Willingness to travel internationally
2) Managing Editor
Responsibilities:
Works closely with the Editor to oversee the day-to-day operations of the HDCA’s peer-reviewed, quarterly journal, including:
– Receive, process and track manuscripts from submission through final decision on publisher’s online content management system, and prepare manuscripts for production.
– Liaise with editors, authors and reviewers and maintain/update database of same.
– Oversee administrative and technical aspects of double-blind peer review process, and provide support to editorial staff (Editor, Associate Editors, Book Review Editor, Guest Editors).
– Establish best practices for editorial processes and production workflow and maintain/ distribute informational documents to authors and editors.
– Work with publisher to update and communicate style requirements to authors and editors.
– Coordinate the planning and production of four print issues annually, including one special thematic issue.
– Work with guest editors and publisher to convert special issues to books.
– Prepare agendas, materials and take minutes for periodic editorial meetings with the Editor, Associate Editors and Editorial Advisory Board. Arrange for logistics of annual editorial meeting at the HDCA conference.
– Maintain records of Editors and Editorial Advisory Board members and their terms, and draft correspondence regarding term extensions and terminations.
– Send annual thank-you letters to reviewers.
– Track statistics on submission, acceptance, rejection and publication of manuscripts.
– Work with the publisher, Editor and HDCA Executive Council on marketing and outreach efforts.
Required Qualifications:
