Position Summary:
Playwrights Horizons, an award-winning off-Broadway theater located in the heart of Manhattan, is seeking an enthusiastic Executive Assistant who will play an vital role in supporting our incoming Managing Director, Casey York. The ideal candidate will be detail-oriented, organized, and comfortable with maintaining discretion in a dynamic, innovative, vibrant and fast-paced environment.
Executive Assistant Responsibilities:
- Provide administrative support for the Managing Director, including crafting and refining emails, memos, and communications that keep things flowing smoothly;
- Coordinate meetings, manage appointments, and navigate the Managing Director’s calendar with finesse and discretion;
- Create and polish documents, reports, and presentations to support the Managing Director;
- Assist with tracking expenses and submit monthly reports with precision;
- Assist in maintaining communications between the uptown administrative offices and Playwrights Downtown including the Playwrights Horizons Theater School affiliated with NYU;
- Routinely perform a wide variety of administrative support duties including printing, mailing, copying, filing, etc;
- Tackle other duties and projects as assigned from time to time, including supporting other departments and colleagues as needed;
Board Liaison Responsibilities:
- Update and maintain important institutional and Board records;
- Maintain communication with the Board members individually and as a group, including regular updates and other outreach as needed;
- Manage the logistics for all virtual and hybrid Board and Committee meetings including scheduling, material preparation, room set-up and other meeting details;
- Attend frequent Board and Committee meetings and take diligent minutes and implement all Board-related tasks including tracking attendance, overseeing onboarding of new members, drafting correspondence, and other duties as assigned;
- Serve as the primary point of contact for Board Member ticket requests, ensuring prompt and accurate responses. Additionally, act as backup for patron and donor ticket requests;
- Perform other duties as assigned by the Managing Director
Qualifications:
- Passion for theater and live performing arts;
- Prior training or experience as an assistant or coordinator in an office environment (or transferrable/equivalent), and skilled at retaining new information quickly;
- Excellent organization and time-management skills and fluidity in scheduling and correspondence with people of different cultures and backgrounds;
- Proficient computer skills, comfortable using Slack, Zoom and the Google Workspace;
- Strong writing, copy editing, and proofreading skills;
- Interest in fundraising and improving systems;
- Ability to maintain confidentiality and exercise discretion;
- A positive-thinker with a proactive work ethic who is able to anticipate the needs of others and “manage up”;
- Comfortable with a hybrid work environment, able to work 3+ days/week in midtown Manhattan office, and able to work some nights and very occasionally on weekends;
Compensation:
Playwrights Horizons offers a comprehensive benefits package including 10 days (two weeks) of vacation, four personal days, and 10 sick days. Playwrights Horizons partially subsidizes health and dental insurance and provides vision insurance at no charge to employees. Salary: $50,000
