Lakeside School

Lakeside School is a distinguished independent coeducational day school offering a rich educational experience in north Seattle. We’re seeking an experienced executive assistant who embodies creativity, proactive thinking, and a knack for handling intricate details amidst multifaceted tasks.

Standard work hours are from 8:00 a.m. to 4:00 p.m. However, flexibility is expected for occasional after-hours, evening, or weekend commitments.

Position Overview: As an Executive Assistant, you will play a pivotal role in supporting the Head of School and the Board of Trustees. Reporting directly to them, you will also oversee the performance of two main office personnel – the administrative assistant and receptionist. Your duties will encompass an array of tasks, including scheduling, project management, event coordination, and inter-departmental collaboration.

Responsibilities

Head of School 

  • Proactively manage and anticipate the Head’s calendar, ensuring materials for upcoming meetings are prepared timely.
  • Organize and oversee the annual administrative meetings calendar, confirming its alignment with the master calendar.
  • Forge relationships with various internal and external stakeholders on the Head’s behalf.
  • Plan events, coordinate travel, and support ongoing projects for the Head of School.
  • Facilitate directors’ group meetings, preparing agendas, taking minutes, and coordinating with the main office team.

Head of School and Main Office

  • Uphold and organize office records, adhering to the school’s document retention policy.
  • Supervise, mentor, and annually evaluate the administrative assistant and receptionist.
  • Provide support during the absence of main office team members.

Board of Trustees

  • Manage the board’s annual calendar, ensuring seamless communication with board members.
  • Update and maintain essential documents: board rosters, manual, and calendar summaries.
  • Attend board meetings, prepare minutes, collaborate on agendas, and ensure their availability on the board portal.
  • Coordinate with the communications team to keep the board’s online presence updated.
  • Oversee the Board of Trustees’ annual budget and handle purchases for departing trustees and long-serving employees.
  • Facilitate board events, retreats, and other special occasions, ensuring trustees are adequately supported.

All-School Processes

  • Lead the master calendar setting process and collaborate on updates.
  • Oversee accreditation reports for relevant agencies.
  • Champion professional development initiatives for the Head of School.

Requirements and Qualifications

  • A bachelor’s degree in the liberal arts, business, or communications is required; a certificate or master’s degree in a field useful for the required job skills will be an advantage.
  • Two to four years of experience in a similar position required, ideally in education though backgrounds in corporate, nonprofit, or governmental sectors will be acceptable.
  • Demonstration of cultural awareness, including knowledge of themselves and the culture lenses they bring to interactions.
  • An understanding of different perspectives, the ability to interact respectfully with cultures other than their own, and ability to cultivate meaningful relationships with people who have different cultural frameworks.
  • Ability to maintain confidentiality.
  • Must have excellent proofreading and document formatting skills and the ability to take meeting minutes.
  • Must have exceptional project management skills; must be able to forecast, track, and complete multiple projects and tasks simultaneously;
  • Must possess expert ability in all facets of organizing work to be done and office systems;
  • Must demonstrate some understanding of the role and function of educational and/or nonprofit institutions.
  • Computer (PC/Windows) proficiency is required as is facility with Microsoft Office programs; experience in managing a Web page will be an advantage.
  • Requires ability to perform repetitive work, standing/sitting, and walking up stairs and to other parts of campus.
  • Must be able to successfully pass three criminal background checks.

Salary and Benefits

Salary Range: $80,000 – $110,000

Pay is based on several factors and may vary depending on job-related knowledge, skills, and experience.
