CTI is looking for a motivated Office Administrator to join our team and contribute to our continued success.
Job Description:
We are seeking a highly organized and efficient Office Administrator to manage daily administrative tasks, perform basic accounting functions, act as a personal assistant to CTI’s Head of Secretariat, and provide overall support to our team. The ideal candidate will be proactive, detail-oriented, and able to multitask in a fast-paced environment.
This is a part-time position (40 % – 60 %) based in Geneva, Switzerland, with an immediate start date. Candidates must have the authorization to work in Switzerland.
The position will be for an initial period of 5 months, with a strong possibility for renewal/extension.
Key Responsibilities:

- Office Administration:
- Ensure the overall smooth running of the administrative aspects of the Office
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail
- Coordinate and schedule meetings, appointments, and travel arrangements
- Manage office supplies and inventory
- Perform certain human resource tasks, such as supporting recruitment processes, on/off boarding staff members, maintaining employee records, tracking vacations, etc.
- Organize and maintain office filing systems, both electronic and physical
- Support senior management with entering into and maintaining service agreements
- Support the team with basic duties to maintain CTI’s website and social media channels
- Basic Accounting:
- Perform bookkeeping tasks, including data entry, invoicing, and expense tracking
- Reconcile accounts and prepare financial reports
- Personal Assistant Duties:
- Provide administrative support to senior management, and to perform key duties to support the Head of Secretariat
- Manage calendars, prepare meeting agendas, and take minutes
- Handle confidential information with discretion
- Team Support:
- Assist with the organization and coordination of company events and activities
- Support team members with various administrative tasks and projects
- Foster a positive and collaborative office environment
And other tasks to support the work of CTI.
Qualifications:
-
- Proven experience as an Office Administrator, Administrative Assistant, or similar role
- Excellent organizational and multitasking skills
- Excellent knowledge of English
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Basic accounting knowledge and experience with bookkeeping software
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
- High level of discretion and confidentiality
Preferred Qualifications:

- Associate’s or Bachelor’s degree in Business Administration or related field
- Fluency in French (B2 or above) will be a distinct advantage
