About the Cambridge Public Library Foundation

The Cambridge Public Library Foundation enhances the library’s innovation and capacity, helping to address emerging community needs through private support. Since its inception in 2015, the Foundation has helped the library reach thousands of children and adults at risk of low literacy, engage our senior community in the creative arts, propel the library’s technological capacity and offerings, create forums for public discourse and democracy, and provide rich cultural experiences that would otherwise be outside the library’s annual budget.

Summary

The Foundation seeks a team player looking to build a career in nonprofit operations. Under the direction of the Foundation Director, the Operations Manager is responsible for basic bookkeeping, maintaining the accuracy and integrity of donor data, coordinating cultivation and fundraising events, managing logistics for two appeals, and supporting meetings of the Board of Directors and its committees. This part-time position will be hybrid, with regular hours at the Cambridge Public Library and work from home.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Administration and Finance

  • Create, revise, and distribute monthly development reports and other list exports.
  • Deposit checks and work with Foundation Controller to ensure all income and expenses are properly coded and processed.
  • Participate and assist in monthly reconciliation of donations, bank deposits and expenses.
  • Ensure accurate tracking of all gifts, donors, and event attendees, maintaining integrity of donor database.
  • Produce pledge reminders and timely acknowledgement letters.
  • Coordinate purchase orders for foundation supported library spend
  • Ensure accurate filing of paperwork for individual, corporate, foundation and matching gifts.
  • Support all meetings (reminders, scheduling), take and distribute minutes, coordinate food for the meetings of the Foundation Board of Directors and its committees.
  • Field all general telephone calls and email requests.

Events

  • Provide logistical and administrative support for four small-scale fundraising and cultivation events; attend events as appropriate.

Minimum Qualifications

  • 2-5 years of experience in nonprofit operations, administration, bookkeeping or development
  • Superior attention to detail with an exceptional level of accuracy and track record of reliability, confidentiality and conscientious work habits.
  • Superior data management and basic bookkeeping skills, working knowledge of donor software (Bloomerang) preferred
  • Experience managing complex projects from start to finish, and ability to work independently.
  • Proficiency with Microsoft Office including Outlook, Word, Excel and PowerPoint.
  • Bachelor’s Degree.
  • Love of and passion for libraries!

Compensation

Compensation: $50,000 salary with 1.5 weeks (9 days) of paid vacation and 6 paid sick days annually. Stipend for benefits may be available.

Work Environment

This position is primarily remote based, with a requirement of coming to the Cambridge Public Library two times a week. Some evening and weekend availability may be required to support Foundation events and goals.
