ACES - American Cultural Exchange Service

American Cultural Exchange Service (ACES) is a small, growing, non-profit organization dedicated to promoting global understanding through educational and cultural exchange experiences. As a U.S. Department of State (DOS) designated organization, ACES administers international high school exchange programs, including the Department of State’s K-L YES, FLEX, NSLI-Y, and UUTI Youth Skills Camps grant programs.

With the national office located in Bellevue, WA, and a second office in Portland, OR; ACES maintains a network of dedicated and well-trained Local Coordinators in communities throughout the United States who provide program services at the local level to international participants, U.S. host families, schools, and organizations.

Our fun and friendly Portland office is looking for a team player as a Program Assistant. The right candidate for this role is someone who wants to grow with our team. This position has the potential for professional advancement as our organization continues to grow, including competitive annual raises and promotion to managerial roles; as well as possible opportunities for travel.

PRIMARY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Working directly with ACES Manager on short-term program operations.
  • Tracking paperwork and submitting reports on program operation and participants.
  • Assisting with logistics including domestic and international travel for participant events.
  • Accompanying participants during program activities including field trips.
  • Provide support for participants during program; including supervision and assistance in the event of an emergency.
  • Tracking deadlines to ensure program operations are completed as required.
  • Enforcing ACES rules and policies.
  • Working closely with managers to complete program specific projects such as: creating, updating, and editing program documents, promotional materials, and program forms.
  • Communication with various program stakeholders, such as local staff, ACES partners, host families, and participants/students.
  • Serve as a program representative to the ACES partners and program participants when necessary.
  • Collaboration with ACES partners on program implementation.

QUALIFICATIONS:

  • Bachelor’s degree with at least 1 year of experience in an office environment
  • Detail oriented with excellent organizational skills
  • Ability to multitask to address multiple, competing priorities
  • Self-starter, motivated, team oriented, and excited to grow with ACES
  • Ambitious and able to work under pressure to meet deadlines
  • Good communication and interpersonal skills; written and verbal
  • Positive attitude, flexible and willingness to take direction
  • International experience preferred
  • Experience working with teenagers or high school students preferred
