Our programs focus on building self-efficacy and centre around the development of a realistic employment pathway plan that takes into consideration prior skills, experience, and future aspirations. We believe that social and economic inclusion are core pillars of effective settlement and inclusion, and that each migrant/refugee needs a tailored approach that considers gender, discrimination, skills gaps, and professional networks. Our approach is also embedded in a community development framework that recognises needs in the broader community such as industry skills gaps, population growth, and social cohesion.

Position summary

The Project Coordinator is responsible for the day-to-day operational management of the community engagement team to engage the targeted refugee communities and run activities and programs. The Project Coordinator will ensure project accountabilities for all projects are met including stakeholder relationships and evaluation targets as well as supporting team members and community focal points (CFPs) to perform well and meet their targets. The Project Coordinator will work with the Country Manager to contribute to building strategic partnerships with key stakeholders, including community, government agencies, local partners and community-based organisations, to maximise positive outcomes.

Key Responsibilities

To manage the implementation of community engagement programs and related services and activities;

  • To oversee the recruitment and capacity building of community focal points from the targeted communities and in line with the program outcomes and goals;
  • To provide support, guidance and supervision to team members to ensure high performance and satisfaction in their work;
  • Ensure that reporting accountabilities and deliverables of donors and the programs are met for the team including support and training for staff in data management and work planning;
  • Support the team in providing quality work that empowers individuals and communities to find appropriate solutions, promotes independence, fosters self-agency and improves outcomes;
  • Promote and maintain a commitment to the HOST Framework and principles within the team and provide opportunities for reflection and brainstorming of strategies to support meaningful outcomes;
  • Provide monthly financial and programmatic updates to the Country Manager, or as and when needed;
  • Ensure that all operations are consistent with HOST values, policy and procedures and are always at a high standard of quality and accountability;
  • Review performance and provide guidance and supervision to CFPs and team members to ensure high quality, consistent and culturally appropriate services are delivered for all activities and projects;
  • Ensure that relevant performance data is collected and maintained securely within the HOST database (CSnet) in accordance with organisational policy and operational framework;
  • Establish and maintain positive, collaborative and productive working relationships and partnerships with the Government and key stakeholders in Malaysia; and
  • Promote a culture of continuous improvement and innovation within all program activity

Selection Criteria

Essential

  • Minimum Bachelor level qualification.
  • Minimum 3-5 years’ experience project management of programs/activities for refugees, asylum seekers or clients from culturally diverse backgrounds.
  • Demonstrated experience in all areas of team leadership including supervision, performance development etc.
  • Experience in community sector leadership involving management and strategic stakeholder relationship management.
  • Demonstrated confidence in using Microsoft office and online data and communication systems.
  • Strong written and verbal communication skills in English and Bahasa Malaysia.
  • Commitment to partnership and collaboration.
  • Able to drive / possess own vehicle.
  • Good time management skills.

Desirable

  • Experience in management and delivery of UN funded projects.
  • Experience in working on refugee community programs relating to direct service delivery.
  • Experience managing community development programs with vulnerable populations.

Position Responsibilities
