Basic Function of Position: The Work Control Clerk performs a wide range of duties associated with all routine, emergency, and preventive maintenance work orders and service requests, ensuring their distribution to the appropriate shop for action. The incumbent will act as the customer service representative for the Facility Management section, communicating with personnel at all levels within the Consulate General.
Job Knowledge: The incumbent must have a good working knowledge of an active office environment and be thoroughly familiar with reporting structures and the standard office hierarchy. They should be capable of supporting multiple persons simultaneously, including maintaining an adequate stock of office supplies. Basic math skills, the ability to handle currency, and proficiency in working with balance sheets is required. Additionally, the incumbent must know how to set up and maintain a filing system. Being customer service-oriented and able to handle difficult customers with tact is essential.
Skills and Abilities: The incumbent must be a visionary and quick learner who can anticipate the needs of their office and supported individuals. They must possess excellent interpersonal skills, handle a heavy workload, and manage multiple tasks efficiently. Organizational skills, decisiveness, and professional telephone etiquette are essential, along with proficiency in Microsoft Office (Word, Excel, PowerPoint) and good typing abilities for memos and data entry. The ability to translate documents between English and the local language and strong filing skills for managing current and historical information are required. Independence, integrity, initiative, good judgment, and a commitment to confidentiality are crucial traits for success in this position.
Experience: A minimum of two (2) years of office administrative/clerical experience in a customer-service office is required.
Education Requirements: Completion of secondary school (10 years of education) is required.
