Position Summary

The Finance Assistant will assist in managing HOST’s Finance functions in Malaysia. Responsibilities include, but are not limited to, accounts payable, accounts receivable, general ledger accountability, and financial reporting, and other special projects as assigned to ensure high quality service delivery and compliance in accordance with legislative requirements and established frameworks.

Key Responsibilities

  • Prepares and record payable and receivable entries within the HOST financial system;
  • Ensure the payment of salaries, remunerations, and statutory and tax obligations (EPF, SOSCO etc) of HOST Malaysia are met;
  • Ensure that financial records are maintained in line with legal and ethical requirements;
  • Protects HOST’s value by keeping all financial information confidential;
  • Ensures all vendors and suppliers are paid on time;
  • Engage with, manage and provide high quality service and support to all internal and external clients (stakeholders) as required;
  • Assist in providing support to the Country Manager and Project Coordinators to ensure effective financial controls and monitoring are in place throughout the organisation and financial report requirements for each project/donor is met;
  • Contribute to the continuous improvement of finance policies, processes, and practices to support efficient and effective finance operations and reporting;
  • Works with the administrative staff to ensure HOST maintains value for money through the establishment sound procurement policies, cost effective supplier arrangements and a preferred suppliers list for goods and services;
  • Supports the Country Manager in preparing and recording financial reports and coordination with the Finance Team and CFO;
  • Support the CFO with managing overall budget and financial resources for HOST Malaysia as well as all assets belonging to HOST International; and
  • Supports the CFO to keep record of all financial documents and information relevant for audits and taxation purposes.

Selection Criteria

Essential

  • Accounting Qualifications.
  • At least 3 years’ experience in similar roles;
  • Competency in the use of cloud-based Microsoft Financial Accounting Systems
  • Competency in the use of Microsoft Office 365;
  • Strong written and verbal communication skills in English and Bahasa Malaysia.
  • Good time management skills.

Desirable

  • Financial Management experience in not-for-profit sector.
  • Experience working in the humanitarian sector.

Position Responsibilities

  • Applicants must have the right to work in Malaysia;
  • All applicants must undertake Police Check and not have any serious convictions including fraud, assault or serious theft. Any convictions should be declared up front and will be discussed confidentially upon receipt of the criminal record check;
